Beginner's Volunteer Guide

🌱 For first-timers

Welcome !Nice to meet you, and welcome!

Thank you for applying to volunteer.
"It is my first time - will I be all right?" You will. There is not a single difficult task, and an experienced staff member will always be close by to show you how things are done as they come up.

On this page we have gathered the flow of the day, what to wear, what to bring and the things we would like you to watch out for, all written for first-timers.
Just skimming through should clear away almost all of your worries about the day.

Time ScheduleThe flow of the day (illustrated)

The exact meeting time and place will be sent to you by email by the day before the event. The rough flow is as follows.

  • 🚗
A little earlier than the general participants

    Meet up and check in

Gather at the place given in the information email. We will hand you a staff bib (vest). Once you are wearing the bib, you are a fully fledged staff member.

  • 🗣
    Before the gates open

    Morning briefing and role assignment

All of the staff meet. We go through the flow of the day and tell you your assignment here. Please ask about anything you are unsure of.

  • ⭐
    During the event

    Helping at your post

Off to your post, whether that is reception, guidance or something else. If you get stuck, just call out to an experienced staff member nearby, or to an organizer carrying a radio.

  • ☕
    In shifts

Breaks and looking around the event

We take breaks in turns. During your break, please enjoy the event freely: look at the rows of Roadsters, take photos, whatever you like.

  • 🎉
    After the event ends

    Teardown and farewell

We tidy up together and then head home. That shared "great work, everyone!" feeling is a privilege only the staff get.

What to Wear & BringWhat to wear and bring (illustrated)

👟

Sneakers

You will be standing and walking for long stretches, so please wear comfortable shoes. Sandals and heels are not suitable.

👕

Easy-to-move-in clothes

Clothes you will not mind getting a little dirty are ideal. We lend you the staff bib at the venue.

🥤

Something to drink

Please keep yourself hydrated. You may be able to buy drinks near the venue, but bringing your own is safer.

📱

Smartphone (charged)

You may use the check-in system when helping at reception. It is also how we keep in touch.

🧥

Warm layer or rain gear (if you have them)

The seaside venue can be windy, and mornings and evenings get chilly. One extra layer you can throw on is reassuring.

🧢

Hat and sunscreen (if you have them)

You will be outdoors during the day, so please do not forget your sun protection.

Safety FirstThings we would like you to watch out for

🚗 Around moving cars

Cars move inside the venue, even at a crawl. When guiding, never turn your back on the direction a car is traveling, and do not force your way between cars. If in doubt, stop and copy what the experienced staff do.

💪 Do not push yourself

Do not carry heavy things alone, and if you start to feel worn out, ask for a break without hesitation. Not overdoing it is an important part of the job too.

❓ Ask straight away

There is no need to feel shy about asking. It helps the organizers far more when a first-timer asks. Please feel free to speak to any staff member nearby.

💬 Talking to participants

A smile and a "Hello!" is plenty. If you are asked something you cannot answer, just say "Let me check on that" and pass it on to an organizer.

FAQCommon worries Q&A

What if I am running late?
The information email we send the day before includes an emergency contact number. Do not panic, and please just get in touch first. Joining partway through is fine too.
What if I feel unwell on the day?
Please never push through it. Whether beforehand or on the day, do not hesitate to let us know that you need to rest. We will cover for each other.
I do not know a single person there...
You will not be the only staff member joining for the first time. We introduce ourselves at the morning briefing, and working together turns people into friends naturally. If anything, it is a chance to make some.
Is it all right if I do not know much about Roadsters?
It is perfectly fine. No role requires knowledge of cars. Watching the cars lined up on the day, you will surely end up knowing plenty.
There is a time slot when I need to step away
Please write it in the notes field of the application form, or tell us at the morning briefing on the day. We will adjust the shifts.

Thank you for reading.
That makes you a fully prepared new staff member. We are looking forward to meeting you on the day!
